Booster Club Officers

The role of the club officers is to coordinate and direct the duties of the club during the swimming season. The swim team President and Vice-Presidents work as a liaison between the Sunrise Recreation and Park District, the Coaching staff and the Parents.

By-Laws

NAME

The name of this organization shall be the "Sharks Competitive Swimming Booster Club"; hereafter called the "Club".

SPONSORSHIP
  1. The Club is an organization of parents and interested parties by its members and under the sponsorship of the Sunrise Recreation and Park District, hereafter call the "District"
  2. The Club works cooperatively with the District through the District's assigned personnel to promote the purposes of the Club and the overall programs of the District.
  3. A statement of the District's policies and responsibilities relative to the competitive swimming program is attached for the reference of the Club.
PURPOSE
  1. The purpose of the Club is to assist District personnel with the promotion, organization and operation of the competitive swimming program.
  2. To provide through fund-raising projects monies and/or services for materials, awards and services not provided by the District.
  3. To encourage and assist the participation of all interested youngsters in competitive swimming.
  4. To organize and sponsor, in cooperation with the District, the annual team b anquet and other special events and programs related to the competitive team.
MEMBERSHIP
  1. All parents of members of the District's competitive swim team are automatically members of the Club.
  2. Other parties are welcome to join and assist with Club activities if so interested.
  3. If the programs and events of the Club are to be successful, all members must assist with the competitive swimming programs and the Club's events.
CONDUCT OF BUSINESS
  1. An executive board shall govern the general business of the Club, such as finances, operating procedures, etc., with the budget being voted on at the general Spring Parent Meeting (Orientation), and Season End (Election of officers).
  2. A majority vote of those present and voting shall decide all Club and Executive Board matters.
  3. A general meeting of all Club members may be held once a month during the year. There will be general meetings held in Spring (Orientation) and Season End (Election of Officers).
  4. Other general meetings of the Club may be called with three (3) days mailed notice by the President or by a petition containing the names of ten (10) Club members. A quorum shall consist of ten (10) members.
  5. Amendments to the by-laws shall be mailed to the Club membership at least one (1) week prior to a general meeting.
OFFICERS
  1. The officers shall consist of a President, Vice President - Director of the Meet, Ways and Means, Secretary, Treasurer, League Representative, Activities Coordinator, Computer Director, District Representative (Recreation Superintendent or Supervisor), all past Presidents, Head Team Parent, and Three (3) Members-at-Large.
  2. These officers will constitute the Executive board and will meet at the call of the President to conduct business of the Club. A quorum shall consist of four (4) officers. An employee of the District shall be in attendance at all meetings of the Club or Executive Board as a non-voting member of the Executive Board.
  3. The officers shall be elected at the general meeting in July/August and shall serve until the succeeding year's election. Officers, if desired, may serve more than one (1) term of office if so nominated and elected.
  4. Duties of officers:
    1. President - shall conduct meetings and activities of the Club; shall act jointly with the Treasurer to administer the finances of the Club; shall appoint committees and delegate their chairmen and duties; shall act with the Representative to the swimming league as a liaison to the District as official spokesperson for the Club; shall serve as chairperson for all competitive swimming programs of the regular season.
    2. Vice President - Director of the Meet - shall appoint co-chairperson as needed for the organization and conduct all swimming meets in cooperation with District personnel, including but no limited to the following: officials, equipment, pre and post meet arrangements, scheduling volunteers, etc.
    3. Ways and Means - shall organize, appoint co-chairs, and coordinate all fund-raising events for the swim team to include special events, swim-a-thon, ad sales, t-shirt/accessory sales etc. Shall also coordinate the arrangements and distribution of team incentive prizes and team accessories.
    4. Secretary - shall keep an accurate record of the proceedings of all meetings and activities of the Club and Executive board; shall act in all matters of Club correspondence; shall serve as chairperson of committee to complete paperwork matters and registration procedures relative to the competitive swim team and members.
    5. Treasurer - shall keep an accurate record of all revenues and expenditures of the Club; receive and disperse funds of the Club and jointly administer finances with the President.
    6. Head Team Parent (Clerk of the Course) - shall organize, appoint, and coordinate all team parents (team parents are assigned an age group of swimmers and they make sure that all swimmers get to their event and correct lane at each meet).
    7. Three Members at Large - shall be utilized as need arises as support to members of the Executive board.
    8. Activities Coordinator - shall organize, appoint co-chairs, and coordinate all the socials and extra curricular activities for the swim team.
    9. Computer Director - shall oversee the computer operation for all meets. This includes data management and organization for registration and meets preparation.
    10. League Representative - shall attend all league meetings and represent the Sharks swim team at said meetings and will report all information to the Sharks swim team board.
  5. A nominating committee of not less than three (3) individuals shall be appointed by the President to present nominations for officers at the Season End. Not more than one (1) shall be a member of the Executive Board. Nominations will also be accepted from the floor at the time of elections. Those individuals nominated must give their consent to serve if elected prior to being nominated. Voting will take place at the banquet.
FINANCES
  1. There shall be no dues for members of the Club.
  2. Monies for the operator of the Club shall be raised through special events and money raising projects. All members will be expected to assist with these practices.
  3. The President and Treasurer will administer the finances of the Club within limits established by the Executive board.
  4. A checking account shall be opened at a local bank for deposits of all funds, except petty cash, which is not to exceed $25.00. All withdrawals will require two (2) signatures - either the President, Secretary, Treasurer of the Club, or the Superintendent of Supervisor of the Aquatic division of the Sunrise Recreation and Park District. Signatures okay to sign checks will be decided by the Club.
  5. A Scholarship Fund shall be maintained by the swim team to recognize high school graduates retiring from the team who have six (6) or more consecutive years on the team. In order to receive said scholarship, the swimmer must contact the Treasurer by July and show proof of college registration or college acceptance. Monetary amounts determined yearly with the largest amount of money going to the swimmers with the most years on the team. Awards will be given in the following categories: 12-14 years, 9-11 years, and 6-8 years on the team. This account will be maintained by on going fund-raising efforts.
